Untangling and Improving Environmental Data Management with MonitorPro

Environmental data collection is a legal requirement for many sites whose operations may have a negative impact upon the environment, and as a result environmental regulations and permits are required to be attained and maintained by a company operating that site. These regulations identify the data that is to be collected and the reports that need to be submitted to ensure that compliance is maintained. If data is not collected and reports are late, compliance breaches can occur and may result in significant fines and site closures. This means that companies need an effective environmental data management system in place to ensure this doesn’t occur.

Many companies still utilise spreadsheets for this purpose, including one particular client that approached us at MonitorPro to help improve their environmental data management.

Our environmental data is in desperate need of a dedicated management system!

The Environmental Data Management Problem

Looking at the client’s current environmental data management system several key points were identified:

  • Historical data older than 5 years was being archived into different spreadsheets and databases, meaning the value of this data was not being utilised through historical trends analysis etc.
  • Data that was currently being collected included:
    • Groundwater (levels and quality).
    • Waste production.
    • Dust and other air quality variables (VOCs, NOx, Sox, particulates).
    • Surface water, effluent quality and flow rates.
    • Weather.
    • Water use.
    • Recycling.
    • Fuel use.

This data was collected manually, by data loggers, and from analysis by external labs. However, because the requirements of data collection had grown over time at the site, different and disparate processes had been created to deal with this.

This meant that a large group of people were working with the environmental data but due to the current data organisation format were unable to work efficiently and creating reports was time consuming with users having to cut and paste from numerous spreadsheets to create a single report.

This meant that the regular reporting of data was error-prone, and reports were often late.  It was clear to the client that if a better system wasn’t implemented the situation would only worsen.

Untangling The Clients Environmental Data

MonitorPro provided the perfect solution to the client’s problem through a number of ways:

  • It provided a centralised monitoring database containing all historical data, current data and provided an automated system for inputting future data.
  • Defined targets for the variables that were required to be collected and deadlines for the reports to be submitted could be identified and tracked.
  • A monitoring schedule could be created to ensure the variables were measured at the correct frequency in the field.
  • Automatic reporting both internally and to the required authority at the specified internals (monthly, quarterly, biannually, annually).

By providing an easy-to-use system to effectively collect and manage their environmental data MonitorPro has enabled the company to ensure that data is collected, managed and reported on time, therefore meaning the company can avoid any implications from the late submission of reports in the future.  It also means that any potential compliance breaches are quickly highlighted and the correct procedure to resolve the issue followed reducing the potential impact of the company’s activities upon the environment and subsequent fines or site closures.  Implementing MonitorPro ensures that the company’s data will now be effectively managed, saving both time and increasing productivity.
