Environmental Management and MonitorPro

Organisations which may pollute the environment are accountable for their environmental impact through strict rules and regulations.  These rules and requirements require the monitoring, collection and reporting of environmental data to ensure a site is within its defined limits.  Requirements for compliance frequently include:

  • What locations are to be measured, what parameters require collecting, and at what frequency.
  • Compliance limits of specified parameters will be identified, these can be fixed levels, calculated values, averages, or combined with additional readings.
  • The frequency of reporting these values and in what format will be identified.

The Task of an Environmental Manager

The environmental manager is the person responsible for ensuring the environmental rules and requirements are met, and as a result they are required to schedule who will collect the data, what data is to be collected, from what location, and at what frequency, this forms a sites monitoring plan.

This monitoring plan clearly identifies the data which is required, and the environmental manager needs to check against this plan that the incoming data is the correct data along with its stage of completeness.  Incoming data can be from numerous sources and at different frequencies including equipment on site (e.g. data loggers), field data from site visits, and laboratory results.

Once collected validation of this data is required to ensure that data input errors are highlighted and adjusted, and also to check against compliance levels set for the site and any breaches highlighted.  In addition to data validation, data must be kept securely ensuring changes cannot be made by anyone other than those with permitted access, and a history of any changes made should be kept.    Once data has been collected and validated any required calculations can be completed on the data and reports generated for submission to the relevant authorities often in specific pre-set formats.

Why MonitorPro Provides an Advantage in Environmental Data Management

Several issues can arise throughout the monitoring schedule and report submission process, which can cause delays to data collection and resulting report submission which puts a company at risk of non-compliance.   These issues however can be easily resolved for a site and it’s environmental manager by using MonitorPro for its environmental data management.

Monitoring Schedule

MonitorPro’s Monitoring scheduler makes it easy to plan and check monitoring is completed on time.

  • The monitoring scheduler makes MonitorPro aware of both data that has been received, data that requires collection, and in turn highlight what data is missing.
  • Reminders can be sent to users according to data status and settings.

MP-Field

Data Collection

MP-Field clearly identifies what information requires collecting and at what point based on the information provided by the Monitoring schedule.

  • This removes the need for paper-based data collection and manual data input later which can result in data input errors.
  • MP-Field can be used offline, and visits will be uploaded once internet connection is resumed.
  • Use of drop-down menus and date pickers removes data input errors.
  • Even when offline MP-Field provides real-time data validation in the field through compliance limits and physical maximum and minimums pre-set in MonitorPro, and identifies the sampling locations where monitoring is required, what needs sampling, and where work is still outstanding.

Data Validation

In MonitorPro physical minimum and maximum values can be identified for input variables and any values which are received above this value will be rejected as invalid data.

MP-Field has built in data validation to ensure data input errors don’t occur while collecting data in the field.

  • If a user tries to enter data that breaches a pre-determined physical limit, MP-Field will give the user a warning message and will not let the data be entered.
  • Values greater than compliance limits are highlighted to the user in the Field. Unlike physical limits, breaches can be entered, and are highlighted for information.

Data Analysis, report generation and submission

MonitorPro features a dynamic dashboard enabling users to display a variety of different widgets in a centralised location, including reports, mapping, and graphing options.

  • Fast and simple way to view data and observe trends, and multiple dashboards can be created for different reporting needs.
  • Dashboard data is automatically refreshed and can be shared easily with other users/groups.

Reports in MonitorPro can be customised to client/industry requirements and generated automatically at required intervals.

Data Security

A number of measures are in place with MonitorPro ensuring data is secure:

  • Unique user access and complete audit trail of any changes made.
  • Combine SSO with multi-factor authentication (MFA).
  • User roles mean access to the data can be controlled.
  • EHS Data has Cyber Essentials and ISO 27001 Certifications and has the MCERTS accreditation.

Centralised Data Location

Using MonitorPro means environmental data from disparate sources and different locations can be compared and analysed all in one centralised location.  This is essential when operating over multiple sites in different locations, which may also be processing different materials.

This makes further reporting both internally and externally much easier and saves a significant amount of time compared to using multiple spreadsheets from multiple locations.
