MonitorPro and ALS: Improved Environmental Data Management Through a Digital Workflow
Many sites still lack suitable environmental data management systems and rely on spreadsheets and paper documents for data collection. This poses a significant risk of data input errors, data loss between users, and missed sampling. It can also be more time-consuming than if done automatically through a digital workflow.
To simplify environmental data management and ensure data analysis and reports are completed, MonitorPro supports using ALS eQuote and eCOC digital formats.
Automation of Sample Templates
eQuotes are produced by ALS and identify the analytical details requested by a site including: the variables required, the cost, and containers required for sampling. These eQuotes can be accepted by MonitorPro automatically to create sample templates through the Monitoring Scheduler. eQuote resolution supports MonitorPro’s aliasing and conditional aliasing system which means any variables which don’t match database itself will be automatically resolved if an alias exists. In a scenario when an alias cannot be identified this will be clearly highlighted to the user in a log for resolution, and once resolved this will apply to all future imports.
Improved Field Data Collection
Once a sample template has been created in MonitorPro’s Monitoring Scheduler, the variables needed for collection and the sample containers required are identified in MP-Field, making it clear what samples need to be collected, without needing paper documents and hand written notes which can increase the risk of human error.
Once field data has been collected and the visit uploaded it will automatically update the visit status in the Monitoring Scheduler and automatically send an eCOC back to ALS with the information required in the initial eQuote. This removes the requirement of manual forwarding or data inputs into spreadsheets where errors can occur. Once analysis has been completed by ALS the results will be emailed back via the MonitorPro Email Importer and automatically uploaded into your database.
How Automation of eQuote and eCOC Through MonitorPro Improves Environmental Data Management
- Removal of paper documents or spreadsheets:
Paper forms and documents require the manual recording of data, potentially from multiple users which can result in input errors or delays if users are absent. Automating this means results are available as soon as they are received and analysis for reports can be completed quickly and efficiently. It can save time and reduce transcription errors when handwriting chain of custody forms before sending to ALS.
- Improved field data collection:
Relying upon paper forms for field data collection has several disadvantages, including notepads being lost in the field, data collection points being missed as there is difficulty checking all monitoring locations have been collected, and writing in adverse weather conditions. It may be unclear in the field what needs to be collected, if written notes or forms are unclear.
Making the collection of field data electronic through eQuotes and Monitoring Schedules in MonitorPro means the user in the field can clearly see what needs to be completed in MP-Field, what containers need to be used, and if a sample point has been missed. Once the visit has been complete, it can be automatically uploaded to the database, removing the need to manually transcribe data post monitoring event, again removing the risk of data input errors. Data validation in MP-Field ensures data entry errors are minimised.
- Automation of data upload:
Automation of the data upload and creation of the eCoC saves a significant amount of time for the users, allowing them to better use the time for more meaningful analysis of data and generation of required reports.
- Improved tracking of data:
The Monitoring Scheduler in MonitorPro ensures all the required samples are collected, and if a sample point is missed, this will be flagged to the user in the system before the eCOC is sent. This ensures that gaps in the data are minimised, which can cause problems for the future data analysis and permit compliance.
